These Terms and Conditions govern your use of Planbase, a portfolio platform built specifically for architects and designers, available via our website and Android mobile application. Please read them carefully before creating an account or using our service.
By creating an account or using Planbase, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree, please do not use the platform.
Planbase is operated by Planbase Limited, a company registered in England and Wales. Our registered address is Flat 6 Langton Court, 34 Charles Street, Newport, Wales, NP20 1AE. You can contact us at hello@planbase.app.
1. Definitions
The following terms are used throughout this document with the meanings set out below:
• "Platform" means the Planbase website, web application, Android mobile application, and all associated features accessible at https://planbase.app or through any official Planbase app.
• "Service" means everything Planbase Limited provides through the Platform, including portfolio creation, project showcase, Orbi AI, the Inspiration Library, the Community Hub, and the Marketplace.
• "You" or "User" means any individual or organisation that accesses or uses the Platform.
• "Content" means any text, images, drawings, designs, plans, documents, or other material that you upload, submit, or share on the Platform.
• "Orbi AI" means Planbase's built-in AI assistant, powered by Google Gemini, which helps users with project planning, technical questions, and conceptual design support.
• "Subscription" means a paid plan purchased to access additional features of the Platform.
• "Marketplace" means the section of the Platform where portfolio templates are available for purchase.
2. Eligibility and Account Registration
To use Planbase you must be at least 16 years old. By creating an account, you confirm that you meet this requirement. If you are registering on behalf of a business or organisation, you confirm that you have authority to bind that entity to these Terms.
When you register, you agree to:
• provide accurate, current, and complete information;
• keep your account credentials secure and not share them with anyone else;
• notify us immediately at hello@planbase.app if you suspect any unauthorised use of your account;
• maintain one account per person or organisation unless we have agreed otherwise in writing.
We reserve the right to refuse registration or suspend accounts where we have reason to believe information provided is false, misleading, or in breach of these Terms.
3. Subscription Plans and Pricing
3.1 Available Plans
Planbase offers the following plans. Features are subject to change with reasonable notice to users.

3.2 Billing and Payment
All payments are processed securely by Stripe, Inc. By providing your payment details, you authorise Planbase to charge your chosen payment method on a recurring basis in accordance with your selected plan.
• Subscriptions are billed at the start of each billing period (monthly or annually, depending on your choice).
• All prices are inclusive of any applicable VAT unless stated otherwise.
• If a payment fails, we will notify you and may suspend access to paid features until the outstanding amount is settled.
• You are responsible for keeping your payment information up to date within your account settings.
3.3 Cancellation
You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period, and you will retain access to paid features until that date. We do not offer refunds for partial billing periods.
3.4 Cooling-Off Waiver
UK Consumer Law Notice: Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have a 14-day statutory right to cancel a digital service contract without giving a reason. However, by ticking the acknowledgement box at checkout and requesting immediate access to Planbase's paid features, you expressly consent to the service beginning immediately and acknowledge that you lose your right to cancel under the 14-day cooling-off period once the service has begun. This does not affect any other rights you may have.
If you do not wish to waive this right, do not tick the acknowledgement box at checkout and do not use any paid features until the 14-day period has expired.
3.5 Plan Changes
You may upgrade or downgrade your plan at any time. Upgrades take effect immediately and you will be charged a pro-rated amount for the remainder of the billing period. Downgrades take effect at the start of the next billing period. We reserve the right to change our pricing with at least 30 days' notice to existing subscribers.
4. Marketplace and Template Purchases
The Planbase Marketplace offers portfolio templates for purchase at prices between £150 and £200 per template. All template purchases are one-time payments and grant you a non-exclusive, non-transferable licence to use the template for your own professional portfolio on Planbase.
• Template purchases are final and non-refundable once the template has been accessed or downloaded, in accordance with the cooling-off waiver described in section 3.4.
• You may not resell, redistribute, sublicense, or make templates available to third parties.
• Planbase retains all intellectual property rights in the templates themselves. Your licence covers use of the template, not ownership of the underlying design.
5. Acceptable Use
5.1 Permitted Use
Planbase is designed for architectural and design professionals and students. You may use the Platform to:
• upload and showcase your own architectural and design projects;
• create and share professional portfolios with prospective employers, clients, or collaborators;
• discover inspiration and explore work shared by other users;
• engage with the Community Hub, join discussions, and connect with other architects;
• use Orbi AI to assist with project planning, technical research, and conceptual design;
• purchase and use templates from the Marketplace.
5.2 Prohibited Conduct
You may not use Planbase to:
• upload content that you do not own or do not have the right to share, including copyrighted material belonging to others;
• share content that is offensive, discriminatory, defamatory, obscene, or otherwise harmful;
• upload content that is outside the scope of architecture, interior design, and related creative disciplines;
• impersonate another person, organisation, or misrepresent your professional credentials;
• use automated tools, bots, or scrapers to extract data from the Platform without our written consent;
• attempt to gain unauthorised access to any part of the Platform, other users' accounts, or our infrastructure;
• use the Platform for any illegal purpose or in violation of any applicable law or regulation;
• transmit spam, unsolicited marketing communications, or malicious code;
• interfere with or disrupt the integrity or performance of the Platform or its underlying systems.
We reserve the right to remove any content that breaches these rules and to suspend or terminate accounts of users who repeatedly or seriously violate them, without prior notice.
6. Your Content and Intellectual Property
6.1 Ownership of Your Content
You retain full ownership of all Content you upload to Planbase. Nothing in these Terms transfers ownership of your projects, designs, or portfolio materials to us.
6.2 Licence You Grant to Planbase
By uploading Content to Planbase, you grant us a non-exclusive, worldwide, royalty-free licence to store, display, and reproduce your Content for the purpose of providing the Service to you. This includes displaying your portfolio to people you share it with, featuring your projects on our public Discovery page (where you have made a project publicly visible), generating PDF exports, and backing up your data. We will not use your Content for any other purpose without your consent.
6.3 Public Portfolios and Community Features
If you choose to make your portfolio or projects publicly visible on Planbase, other users of the Platform may:
• view your projects and portfolio pages;
• save your projects to their personal collections within the Platform;
• like your projects.
Saving and liking is internal to the Platform. Other users may not download, reproduce, redistribute, or use your Content outside of Planbase without your explicit permission. Making your portfolio public does not transfer any rights in your Content to other users.
6.4 Orbi AI Outputs
Any content generated through Orbi AI in response to your prompts and inputs belongs to you. Planbase does not claim ownership over AI-generated outputs produced during your use of the Service. You are responsible for reviewing AI-generated content before using it professionally, as outputs may not always be accurate, complete, or suitable for your specific project.
Note: Orbi AI is powered by Google Gemini. Your inputs are processed by Google in accordance with Google's terms of service and privacy policy. Please do not input sensitive personal data, confidential client information, or third-party proprietary material into Orbi AI prompts.
6.5 Planbase Intellectual Property
Planbase Limited owns all intellectual property rights in the Platform itself, including its software, design, branding, logos, user interface, and the curation of the Inspiration Library. You may not copy, modify, reverse engineer, decompile, or create derivative works from any part of the Platform without our written permission. Our name and logo are trademarks of Planbase Limited and may not be used without our prior written consent.
6.6 Copyright Complaints
If you believe that Content on Planbase infringes your copyright, please contact us at hello@planbase.app with the following information: a description of the copyrighted work, the URL of the allegedly infringing material, your contact details, and a statement that you have a good faith belief that the use is not authorised. We will investigate and respond promptly.
7. Orbi AI: Specific Terms
Orbi AI is available on the Standard and Enterprise plans (and for a limited number of interactions on the Free plan, as noted in your account). The following terms apply specifically to your use of Orbi AI:
• Orbi AI is provided as a tool to assist and inspire your work. It is not a substitute for professional architectural advice, structural engineering review, or planning consultation.
• You are solely responsible for verifying the accuracy of any technical information, references, or design suggestions generated by Orbi AI before applying them to a real project.
• Do not submit confidential client information, personal data of third parties, or commercially sensitive material through Orbi AI prompts.
• Planbase does not guarantee the accuracy, completeness, or fitness for purpose of any Orbi AI output.
• We reserve the right to set fair usage limits on Orbi AI interactions to maintain service quality for all users. We will notify you if limits apply to your plan.
8. Privacy and Data Protection
Your privacy matters to us. The way we collect, use, and protect your personal data is set out in our Privacy Policy, available at https://planbase.app/privacy. The Privacy Policy forms part of these Terms and you should read it alongside this document.
We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Where you are based in the European Union, we also comply with the EU GDPR.
9. Third-Party Services and Links
Planbase integrates with several third-party services to deliver its features, including Stripe for payments, Google for analytics and AI, Supabase for data infrastructure, Hotjar and PostHog for product analytics, and Gately for authentication. Your use of these services is also subject to their own terms and privacy policies.
The Platform may contain links to external websites or resources. We are not responsible for the content, accuracy, or practices of any third-party sites. Links do not constitute an endorsement by Planbase.
10. Service Availability and Changes
We work hard to keep Planbase running reliably, but we cannot guarantee uninterrupted or error-free access. We may carry out planned maintenance from time to time and will try to give advance notice where possible.
We reserve the right to modify, suspend, or discontinue any feature of the Platform at any time. For material changes that affect paid subscribers, we will provide at least 30 days' notice. If we discontinue the Platform entirely, we will provide reasonable notice and assistance with data export.
11. Limitation of Liability
11.1 What We Are Responsible For
Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under applicable UK law.
11.2 What We Are Not Responsible For
Subject to section 11.1, Planbase is not liable for:
• any loss or corruption of your Content, beyond what we have caused through our own negligence;
• any indirect, consequential, or special losses, including loss of business, loss of profits, or loss of opportunity;
• losses arising from your reliance on Orbi AI outputs without independent professional verification;
• losses arising from the actions or content of other users;
• service interruptions caused by circumstances outside our reasonable control, including internet outages, third-party infrastructure failures, or events of force majeure.
11.3 Cap on Liability
Where we are liable to you under these Terms, our total liability in any 12-month period is limited to the greater of: (a) the total fees you have paid to Planbase in the 12 months before the event giving rise to the claim; or (b) £100.
Consumer rights note: If you are a consumer (an individual using Planbase for personal use rather than in the course of a business), these limitations do not affect your statutory rights under the Consumer Rights Act 2015 or other applicable consumer protection legislation.
12. Suspension and Termination
12.1 Termination by You
You may close your account at any time by visiting your account settings and selecting the delete account option. On deletion, your personal data will be removed within 30 days in accordance with our Privacy Policy. We recommend exporting your portfolio and any content you wish to keep before deleting your account.
12.2 Suspension or Termination by Us
We may suspend or terminate your account, with or without notice, if:
• you breach these Terms, particularly provisions relating to acceptable use or intellectual property;
• we are required to do so by law or a regulatory authority;
• your account is used for fraudulent, abusive, or harmful activity;
• you are persistently inactive and on the Free plan (we will give 30 days' notice before closing inactive free accounts).
Where we suspend a paid account for breach, we will not refund any fees already paid. Where we terminate for reasons other than your breach, we will refund a pro-rated portion of any prepaid fees.
13. Consumer Rights
If you are a consumer based in the United Kingdom or European Union, you have rights under applicable consumer protection law that these Terms do not override. These include rights under:
• the Consumer Rights Act 2015 (UK): digital content must be of satisfactory quality, fit for purpose, and as described;
• the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 (UK): governing cancellation rights for online purchases, subject to the waiver in section 3.4;
• the Consumer Rights Directive (EU) where applicable.
If Planbase fails to deliver the service as described and we are unable to remedy this within a reasonable time, you may be entitled to a price reduction or a refund under your statutory rights, regardless of our refund policy.
14. Enterprise Plan
The Enterprise Plan is subject to a separate written agreement between Planbase Limited and the subscribing organisation. Where any conflict exists between these Terms and an Enterprise agreement, the Enterprise agreement will take precedence in relation to that organisation. Enterprise clients should contact us at hello@planbase.app to discuss custom requirements, onboarding, and contractual terms.
15. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by email or through a prominent notice on the Platform at least 14 days before the change takes effect. Your continued use of Planbase after that date constitutes acceptance of the updated Terms.
If you do not agree to the updated Terms, you may close your account before the changes take effect. If you are on a paid plan, we will refund any prepaid fees for the period after the effective date of the change on request.
16. Governing Law and Disputes
16.1 Governing Law
These Terms are governed by and construed in accordance with the laws of England and Wales. Any dispute arising from these Terms or your use of Planbase will be subject to the exclusive jurisdiction of the courts of England and Wales, unless mandatory consumer protection laws in your country of residence give you the right to bring a claim in your local courts.
16.2 EU Online Dispute Resolution
If you are based in the European Union and wish to raise a dispute, you may use the European Commission's Online Dispute Resolution (ODR) platform, available at https://ec.europa.eu/consumers/odr. Our contact email for ODR purposes is hello@planbase.app.
16.3 Informal Resolution
Before pursuing formal legal action, we encourage you to contact us at hello@planbase.app. We are committed to resolving disputes fairly and will always try to reach a satisfactory outcome through direct communication.
17. General Provisions
• Entire agreement: These Terms, together with our Privacy Policy, constitute the entire agreement between you and Planbase Limited regarding your use of the Service and supersede any prior agreements or representations.
• Severability: If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
• No waiver: Our failure to enforce any right or provision of these Terms on one occasion does not constitute a waiver of that right going forward.
• Assignment: We may assign our rights and obligations under these Terms in connection with a merger, acquisition, or sale of assets. We will notify you in advance if this affects your account. You may not assign your rights under these Terms without our written consent.
• Force majeure: We are not liable for any delay or failure to perform our obligations where this is caused by circumstances beyond our reasonable control, including natural disasters, power failures, government actions, or internet infrastructure failures.
